Quotation

In these Terms and Conditions “Queen and Whippet Catering” means Queen and Whippet Catering Ltd and “Client” means the person or company booking the event.

Written quotations are valid for 30 days from the date of quotation and may be subject to change following a site visit or further information gathering. Any reasonable cost increases occurring up to 30 days prior to the event (up to 3% of cost of produce, materials, staff or hire) will be covered by Queen and Whippet Catering. Any increases beyond this will result in a requote to cover additional amounts.

Confirmation

Verbal/email confirmation of any event will be taken as acceptance of Queen and Whippet Catering’s Terms and Conditions.

Tastings

Individual tasting sessions for weddings or large events incur a fee of £250 which is payable 7 days in advance of the tasting date. This fee will be refunded to the client against the balance invoice should the booking be confirmed. If a booking is not confirmed the fee is non-refundable. This fee is based on 1-3 people attending the tasting; for larger tasting groups please enquire for a cost

Menu

The final menu is to be agreed and finalised not less than one month in advance of the Event, notwithstanding specific dietary requirements / allergies of guests advised after this date which Queen and Whippet Catering Ltd will endeavour to accommodate.

Queen and Whippet Catering Ltd reserves the right to make small changes to the menu if key ingredients are unable to be sourced due to reasons beyond the control of the Parties but will endeavour to inform the Client as soon as such a situation becomes apparent.

The Client will make Queen and Whippet Catering aware of any severe allergies suffered by their guests to the best of their knowledge.

Coordination with venue

Queen and Whippet Catering Ltd will be granted access to the Venue no later than three hours in advance of the Start Time for the Event, and two hours after the end of food service for clean-up.  Client will make all necessary arrangements, at Client’s expense, to get this access arranged.

Minimum spend and payment terms

Payment will be made to Queen and Whippet Catering as follows:  A first payment of 25% of the total quoted cost is due upon signature. This payment secures services on the contracted date and is non-refundable. The balance payment will be due one month in advance of the event.

Queen and Whippet Catering Ltd base their acceptance of an event upon an expected level of income and have therefore closed the date to other potential business. If the final confirmation of food costs should fall below 80% of the quoted amount, either by The Client reducing guest numbers or menu options, Queen and Whippet Catering Ltd reserves the right to charge a minimum spend of 80% of the quoted cost or requote as appropriate. Equipment hire and staff costs are not included in this consideration and may be lowered below 80% of the original quote or supplied directly by The Client on agreement with Queen and Whippet Catering Ltd.

Invoices are based on the final numbers confirmed not later than one calendar month before the Event. Should the numbers decrease after this date the higher, original figure will stand. 

Variations to services

Once event details are confirmed at the planning meeting (typically three months in advance), the administration to effect one amendment to the equipment hire schedule is offered free of charge. Queen and Whippet Catering Ltd reserves the right to charge the Client a £100 administration charge for any and all additional requests to make such changes.

Responsibilities for related costs

Client is solely responsible for all costs relating to use of the Venue, and for obtaining any necessary permissions, authorisations, or other requirement of Queen and Whippet Catering Ltd providing services at the Venue.

The Client is responsible for any loss or damage to hired equipment, unless caused by staff or agents of Queen and Whippet Catering Ltd, from the time of delivery until collection by Queen and Whippet Catering Ltd, or its sub-contractor, or returned by the Client. Any losses or breakages will be charged to the Client at full replacement cost. The Client should, in their own interest, ensure that all such equipment is insured.

Insurance and indemnification

Queen and Whippet Catering Ltd has in place appropriate liability insurance relating to their services.

Cancellation and Postponement

If Queen and Whippet Catering Ltd cancels the Event, the fees paid at the time of cancellation will be repaid to the Client within 14 days of cancellation and no further sum or compensation will payable to the Client by the Caterer arising from such cancellation.

If the Client cancels the Event, Client must provide written notice to Queen and Whippet Catering Ltd along with any required cancellation charge to effect cancellation.

Client understands that upon entering into an event contract, Queen and Whippet Catering Ltd is committing time and resources to the event and thus cancellation would result in lost income and lost business opportunities. 


The following charges will apply:

Between confirmation of event and three calendar months from event date: The first payment will be retained.

Within three calendar months of event: 50% of the quoted cost

Within one calendar month of the event: 100% of the quoted cost

Any liability to sub-contractors or other direct costs or expenses incurred on behalf of the Client will also be charged to the Client.

If the Client postpones the Event, date changes must be submitted in writing and acceptance of the new date is subject to availability. Every effort will be made to transfer services to a mutually agreeable date and no fee for postponement will be payable if this falls within 12 months of the originally contracted date. 

If the new date is more than twelve months after that which was originally contracted, Queen and Whippet Catering Ltd reserves the right to charge a postponement fee of up to an additional 10% of the quoted cost.

 If the new date cannot be accommodated by Queen and Whippet Catering Ltd, this will constitute a cancellation by the Client and the above clauses will apply.

Legal compliance

Queen and Whippet Catering Ltd will work in compliance with all applicable local council rules and regulations relating to food preparation and food service.

Limitation of liability

If Queen and Whippet Catering Ltd cannot fulfil its obligations for reasons outside of its control the liability is limited to the total value of the contract. Queen and Whippet Catering Ltd accepts no liability for any indirect or consequential loss.

Queen and Whippet Catering Ltd shall not be liable for any additional losses suffered by the Client due to force majeure.

Resolution of disputes

The Parties agree to not post any negative information about the other on any online forum or website without providing advance written notice of the intended content thereof, and providing the other party with an opportunity to resolve any issues between the parties amicably. Any complaints must be made in writing within one week following the Event.

Force Majeure

No liability is accepted by Queen and Whippet Catering for failure of performance due to strike, lockout, Government directive, hostilities ,or any other circumstances outside the control of Queen and Whippet Catering.
